Zapier Automation Not Working
Zapier automations break in 2026 for five main reasons: the connected account credential expired (OAuth token or API key is invalid), the trigger is not detecting new data (polling too slowly, wrong trigger event, or filter condition blocking everything), a required field in an action step is empty, Zapier has placed the Zap in error state after repeated failures, or the Zap is turned off.
Why This Happens
- Configuration gaps between tools or services
- Missing integrations or manual workarounds that weren't designed to scale
- Changes in vendor behavior, pricing, or API that weren't communicated clearly
What To Check First
- Verify your current setup matches the vendor's latest documentation
- Look for recent changes — platform updates, new team members, configuration drift
- Check if the problem is consistent or intermittent (different root causes, different fixes)
When To Escalate
- The problem is costing you money or customers per week
- You've spent more than 2 hours on it without progress
- A vendor quoted you more than $500 and you're not sure if it's necessary
Dealing with this right now?
Check first: is the Zap turned on? (Zap list shows a toggle — it is easily accidentally toggled off.) Then go to Zap History and look at the last few runs — Zapier shows exactly which step failed and the error message. For credential errors, go to Connected Accounts and reconnect the failing service. For filter issues, check the Filter step conditions — a typo or wrong value in the filter can make it never trigger. For empty required fields, use Zapier's "Test" button on each step to see what data is actually being passed.
